Schedule and deliver report

A user schedules a saved report for periodic email delivery to specified recipients.

When this happens: You click Schedule on a saved report.

Step by step

    Open a saved report. Clicks Schedule.

    EasyCRM shows schedule form: Frequency (Daily, Weekly, Monthly), Day of Week (for weekly), Day of Month (for monthly), Time, Format (PDF, CSV, Excel), Recipients (user lookup + external email addresses).

    Sets: Weekly, Monday 8:00 AM, PDF format, recipients: self + Sales Manager.

    Click Save Schedule.

    Schedule created. At the scheduled time, the system runs the report query (scoped to the report owner's access level), generates the file, and sends it via email to all recipients. Notification: ScheduledReportDelivered to recipients.

Other paths

Edit schedule

Click Edit Schedule — modifies frequency, recipients, or format.

Pause/resume schedule

Toggles schedule to Paused Reports are not generated until resumed.

Delete schedule

Delete the schedule. No further reports generated.

If something goes wrong

Report generates no data

Report query returns empty results. Email sent with note: No data matched the report criteria for this period

Good to know

  • Scheduled report data is scoped to the report owner's access level, not the recipient's.
  • External email recipients receive the report file but cannot access the CRM.
  • Supported formats: PDF and CSV/Excel.
