Deactivate or reactivate user

Admin deactivates a user (blocking login but preserving records) or reactivates a previously deactivated user.

When this happens: Admin navigates to User Management — [User] — Deactivate/Reactivate.

Step by step

    Open the user detail page and clicks Deactivate.

    EasyCRM checks if the user has direct reports. No direct reports — displays confirmation: Deactivating [User] will prevent them from logging in. Their records will be preserved. Continue?.

    Click Confirm.

    Sets on the user account. Invalidates all refresh tokens for the user (terminates all active sessions). If the user is a Support Agent with assigned tickets — moves those tickets to the Unassigned queue. EasyCRM shows success: User [name] has been deactivated.

Bulk reassign ownership before deactivation

Before deactivation, navigates to User Management — [User] — Reassign Records EasyCRM shows a Reassign dialog with a count of owned records by entity type and a target user lookup. Select a target user and clicks Reassign All EasyCRM updates Owner on all records to the target user. Proceeds with deactivation (main flow).

If something goes wrong

User has direct reports

At step 2 (deactivation), user has [N] direct reports. EasyCRM shows: Cannot deactivate [User] because they manage [N] team member(s). Please reassign their reports to another manager first Deactivation is blocked.

Deactivating the last admin

If this is the only active user with Admin role. EasyCRM shows: Cannot deactivate the last Admin user. Please assign Admin role to another user first Deactivation is blocked.

Good to know

  • Deactivation preserves record ownership (records stay with deactivated your ID).
  • Deactivation is blocked if user has direct reports.
  • Deactivated your tickets move to unassigned queue.
  • Admin can bulk-reassign ownership.
